Who we are

Old Kyle Farm is operated by NR Investments Limited, a company registered in Scotland (Company Number SC493310). Our registered address is available upon request. We can be contacted at hello@oldkylefarm.com or by telephone on 01471 250970.

NR Investments Limited is the data controller for personal data collected through this website and through our booking and communication processes.

What data we collect and why

We collect personal data only where we have a lawful basis to do so under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. The data we collect and our reasons for collecting it are as follows.

Booking data

When you make a reservation, we collect your name, email address, telephone number, and payment information (processed securely through our third-party booking provider, Cloudbeds). We need this information to process and manage your reservation, communicate with you about your stay, and comply with our legal obligations. The lawful basis for this processing is the performance of a contract.

Enquiry and contact data

When you contact us by phone, email, or via the contact form on this website, we collect your name, email address, and the content of your message. We use this to respond to your enquiry. The lawful basis for this processing is our legitimate interest in responding to customer enquiries.

Website data

Our website may collect standard server log data including your IP address and pages visited. This information is used solely for the purposes of maintaining website security and performance. We do not use tracking cookies or analytics that collect personally identifiable information without your consent.

How we store and protect your data

Your personal data is stored securely. Booking data is held within Cloudbeds, a PCI-DSS compliant booking platform. Email correspondence is stored within our email system. We implement appropriate technical and organisational measures to protect your data against unauthorised access, loss, or destruction.

We do not sell, rent, or share your personal data with third parties for marketing purposes.

How long we keep your data

We retain booking records for seven years in order to comply with our legal and tax obligations. Enquiry data is retained for up to two years. You may request deletion of your data at any time (subject to any overriding legal obligations — see below).

Third parties

We use the following third-party services which may process your data on our behalf:

  • Cloudbeds — our booking and property management system. Cloudbeds processes reservation data on our behalf. Their privacy policy is available at cloudbeds.com/privacy-policy.
  • Email service provider — we use a standard email service to manage correspondence. Emails you send to us are stored within this system.

We do not use advertising networks, social media tracking pixels, or behavioural analytics tools that collect your data without consent.

Cookies

This website uses only essential cookies necessary for the site to function correctly. We do not use tracking cookies, advertising cookies, or non-essential analytics cookies. You do not need to consent to any cookies to use this website.

Your rights

Under UK GDPR, you have the following rights in relation to your personal data:

  • Right of access — you can request a copy of the personal data we hold about you.
  • Right to rectification — you can ask us to correct inaccurate data.
  • Right to erasure — you can ask us to delete your data, subject to any legal obligations we have to retain it.
  • Right to restriction — you can ask us to limit how we use your data in certain circumstances.
  • Right to data portability — you can ask for your data in a structured, machine-readable format.
  • Right to object — you can object to processing based on legitimate interests.

To exercise any of these rights, please contact us at hello@oldkylefarm.com. We will respond within 30 days.

If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
